The Change Challenge: Collaboration to drive innovation – a lesson in working in partnership

Cementing a strong partnership through the delivery of robust and effective change

Entec Si’s analysis and insight gives us the confidence that our change needs will be addressed, whilst future proofing processes and systems for our continued growth. Having these change specialists working as an extension to our in-house team, means that we can get on with our day-to-day obligations, knowing that our continuous improvement requirements are also being addressed.”

Michael Gregson, Head of Corporate Services and Delivery at the West Midlands Academic Health Science Network

Our mission was to support the West Midlands Academic Health Science Network (WMAHSN) to create new methods for cataloguing historic and current procurement contracts and Service Level Agreements (SLAs). A new approach was needed to review and reorganise documentation and make it future proof for the continued rise in contracted employees and services from third party organisations.

Through close collaboration with WMAHSN, the team defined a solution that would meet the client’s current and future requirements. Specifically, the solution needed to enable the effective cataloguing of historic documentation so that WMAHSN contracts team could manage live contracts on a daily basis and ensure accuracy and consistency.

Through business analysis and insight, our project team reviewed all contracts and identified risk areas to avoid further contract and SLA documentation pitfalls, with a number of improvements recommended.

The team transferred all documents to a web-based collaborative platform and a new, well-structured contract catalogue was developed, together with a contracts management view for users.

This has enabled WMAHSN to have a more holistic and real time overview of its contract situation and respond to risks as they arise.

The organisation is now better equipped to make decisions about the next steps in improving its operational procurement contract management processes.

  • Closer collaboration – achieved through a blended team approach
  • Optimisation of the management process – allowing for a full overview of the current contract situation
  • Enhanced decision-making capability – improving the contract management process
  • Greater efficiency – with capacity to respond to any risks identified more quickly
  • Modernised storage systems – by future-proofing the contract management process with new IT systems
